Who we are

What we collect and why
| When | What we collect | Why, and our lawful basis |
|---|---|---|
| You send an enquiry (the form, the Care Finder call-back request, or email) | Your name, phone number, email address, best time to call, who needs care, the type of care, how soon it is needed, the area, and anything you choose to tell us in your message. | To reply to you, arrange a free assessment and plan care. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries. |
| You tell us about health or care needs | Any health information you choose to include — for example a diagnosis of dementia, mobility needs or medication. | This is special category data. We process it with your explicit consent (given when you choose to share it with us) and, where care goes ahead, for the provision of health and social care under UK GDPR Article 9(2)(h). |
| You use the Care Advisor chat | The messages you type. We ask you not to include personal or health details, and the assistant is instructed not to collect them. | To generate an automated reply. Lawful basis: our legitimate interest in helping visitors find general information. |
| You visit the website | Standard technical data such as your IP address, browser type and the pages requested, held in our hosting provider's server logs. | To keep the site secure and working. Lawful basis: legitimate interests. |
We do not buy marketing lists, we do not send marketing emails, and we never sell your information.
Who we share it with
- Netlify, Inc. hosts this website and stores the enquiry form submissions securely on our behalf. Netlify may process data outside the UK under appropriate safeguards.
- Anthropic provides the AI model behind the Care Advisor chat. Messages you type into the chat are sent to Anthropic's service to generate a reply. This is why we ask you not to share personal or medical details in the chat — please use the enquiry form instead.
- Our email provider, so we can read and reply to your enquiry.
- Where care goes ahead, the people and organisations involved in that care — for example your GP or the local authority — but only with your agreement or where the law requires it (for example a safeguarding concern).
How long we keep it
If you enquire but care does not go ahead, we delete your enquiry within 12 months. If care goes ahead, your information becomes part of your care records, which we must keep for the periods required by our regulator and the law. Chat messages are not stored by us after your conversation ends.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, ask us to limit how we use it, object to our use of it, or ask for it in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email contact@sovcare.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
This website does not set cookies and does not use analytics, advertising or tracking tools. The only information recorded about your visit is the standard server log described above. If this ever changes, we will update this page and ask for your consent where the law requires it.
Changes to this notice
We will update this notice if the way we handle information changes — for example when our CQC registration is granted and care records begin. The date at the top shows when it was last reviewed.
